1. Joint controllers and scope

This Privacy Policy explains how personal data is processed when you use this website and the other TEQTUM websites, or contact us by email, telephone, messenger or contact form.

Joint controllers
Personal data collected through the website is processed by two companies of the TEQTUM group acting as joint controllers under Article 26 GDPR:

How responsibilities are shared. Teqtum GmbH operates the website, its forms and cookies, and is responsible for informing you about data processing. TEQTUM EUROPE Sp. z o.o. receives enquiries and orders submitted through the website and uses this data to prepare offers, conclude and perform contracts, provide customer service and, where you have consented, send marketing communications. Both companies have set out these responsibilities in a joint controller arrangement; its essential content is available on request at office@teqtum.de. You may exercise your rights (section 6) against either company.

We process personal data in accordance with Regulation (EU) 2016/679 (General Data Protection Regulation, “GDPR”), the German Federal Data Protection Act (BDSG), the German Telecommunications Digital Services Data Protection Act (TDDDG) and the applicable laws of the Republic of Poland.

Simply using the website does not mean that you consent to data processing. Where we rely on your consent, we ask for it separately.

2. What data we process, why, and on what legal basis

• Contact or consultation request (form, email, phone, messenger): name, phone, email, city/country, message, files you send — to answer your request and prepare a quote. Legal basis: Art. 6(1)(b) GDPR (steps prior to a contract).
• Orders, contracts, online shop: name, company, address, phone, email, order and payment details — to perform the contract, deliver and invoice. Legal basis: Art. 6(1)(b) and (c) GDPR.
• Training, certificate verification, installer registry: name, company, city, certificate number, contact details — to provide training, issue and verify TEQTUM certificates and show certified installers. Legal basis: Art. 6(1)(b) GDPR; for publication in the registry, Art. 6(1)(a) GDPR (consent of the installer).
• Newsletters and marketing messages: email, phone, name. Legal basis: Art. 6(1)(a) GDPR (consent, which you can withdraw at any time).
• Visiting the website (server logs): IP address, browser, device, date and time, pages visited — to run the website securely and prevent attacks. Legal basis: Art. 6(1)(f) GDPR (legitimate interest).
• Analytics and advertising cookies: cookie identifiers, pages visited, approximate location, device data — to measure traffic, improve the website and advertise. Legal basis: Art. 6(1)(a) GDPR (consent via the cookie banner).
• Messengers (WhatsApp, Telegram) and social networks (Instagram, Facebook, YouTube): messenger name/number, message content — to answer your request. Legal basis: Art. 6(1)(b) or (f) GDPR.

We do not request special categories of personal data (for example, health data). Providing data is voluntary, but without contact details we cannot answer your request.

3. Cookies, analytics and advertising

• Necessary cookies (session, shopping cart, language, saving your cookie choice) — no consent required, the website cannot work without them.
• Analytics cookies (Google Analytics 4) — only with your consent.
• Marketing cookies (Google Ads: conversion tracking, remarketing) — only with your consent.

Analytics and marketing cookies are set only after you accept them in the cookie banner. You can change your choice at any time via the “Cookie settings” link at the bottom of every page. We use Google Consent Mode: until you consent, Google services do not store cookies on your device.

Google Analytics 4 helps us understand how visitors use the website; IP addresses are not stored. Google Ads measures which ads lead to enquiries and lets us show TEQTUM ads to website visitors. Embedded content. Some pages show Google Maps or YouTube videos. These services may set cookies when loaded; where possible, they are loaded only after consent.

4. Recipients and international transfers

We share personal data only when necessary for the purposes above, and only with recipients bound by confidentiality or data processing agreements:

• WhatsApp (Meta), Telegram — communication you start; possibly outside the EEA
• TEQTUM partners and certified installers in your country — carrying out the installation you request
• Accountants, legal advisers, public authorities — legal obligations; EEA

Where recipients are located outside the European Economic Area (for example in the USA), we rely on an adequacy decision of the European Commission (EU–US Data Privacy Framework, where the recipient is certified) or on Standard Contractual Clauses. You can request a copy of these safeguards at office@teqtum.de. We do not sell personal data.

5. How long we keep data

• Enquiries that did not lead to a contract: 3 years after the last contact
• Contracts, orders, invoices: until the statutory retention periods expire (up to 10 years)
• Certificate and registry data: while the certificate is valid and 3 years after; publication ends when consent is withdrawn
• Newsletter and marketing consent: until withdrawn
• Server logs: 30 days, longer only to investigate a security incident
• Cookies: as stated in the cookie banner; analytics and advertising cookies no longer than 13 months

After these periods, data is deleted or anonymised.

6. Your rights and complaints

You have the right to access your data, to rectification, erasure and restriction of processing, to data portability, to object to processing based on legitimate interest and at any time to direct marketing, and to withdraw consent at any time with effect for the future. Write to office@teqtum.de; we reply within one month.

Complaints. You can lodge a complaint with any data protection authority, in particular in the country where you live or work. The authorities responsible for the joint controllers are the State Commissioner for Data Protection and Freedom of Information Baden-Württemberg (baden-wuerttemberg.datenschutz.de) for Teqtum GmbH and the President of the Personal Data Protection Office of Poland (uodo.gov.pl) for TEQTUM EUROPE Sp. z o.o.

7. Security, minors, changes, contact

Security. We use encrypted connections (HTTPS), restrict access to personal data to staff and partners who need it, and protect our systems against unauthorised access.

Minors. The website is intended for adults. We do not knowingly collect data from persons under 16.

Automated decisions. We do not make decisions based solely on automated processing, including profiling, that have legal or similarly significant effects on you.

Changes. We may update this Policy when our services or the law change. The version published on the website applies.
